Integrating ServiceNow With Power BI – REST APIs Method

1. Initiate the process by making a ServiceNow account with REST privileges:

To begin using ServiceNow Power BI, a ServiceNow user account must be created, and then the REST role and the read role must be assigned to the table form from which Power BI will retrieve the records.

For example, the situation when you need to pull data from the change request table. You can log in with the username Power. Now you have to expand the scope of access by including the sn_change_read and snc_platform_rest_api roles.

You should know that the sn change read method can only be accessed if the Change Management plugin has been installed (com.snc.itsm.roles.change management).

2. Get your REST Endpoint from the ServiceNow REST API Explorer.

The ServiceNow REST API EXPLORER is a handy and straightforward method of acquiring a REST Endpoint URI, which can then be used to obtain data using Power BI. To accomplish this successfully, please refer to the guidelines provided below.

  • Use the REST API Explorer to make a table alteration request. A variety of alternate options are available. Please refer to the following screenshot for further details.
  • For sysparm_display_value, set it to “true.” This will give you access to the value shown in the reference/option fields.
  • Put true in sysparm_exclude_reference_link. If you specify false, Power BI will provide you with the API connection for the reference records even though you do not need them. When this is the case, you’ll have much more difficulties within Power BI.
  • It will show up as a link labeled “Record” in PowerIn Power BI, and importing the real value/transformed data into PowerBi will be challenging or impossible. Power BI will display “Error” for any reference fields that are left blank.
  • You can specify which Power BI fields you need in a list called sysparm_fields. Keep it to a minimum if at all possible.
  • For sysparm_limit, your options are either 1 or 2. Both one and ten are possible. Any arbitrary value can be entered and edited later.

Identify the destination. If you scroll down, you’ll see several code snippets in several different languages. Learn from anyone’s destination and make it your own.

3. In Power BI, go to the Source menu and select Web Data.

It is required that you have a Power BI desktop installed on your computer. Step two of ServiceNow Power BI integration is to link the data source. In Power BI, click the menu item labeled “Get data” to access the collection tool. Select the Internet, and then link.

In the URL fields, paste the ServiceNow URI you retrieved in the previous steps. In the Accept header of your HTTP request, type “application/json.” Simply select the OK option.

4. Set up the ServiceNow endpoint in Power BI.

When you try to access protected material and then click OK, the system will prompt you for confirmation. Select “basic” and then “log in with ServiceNow.” Press the connect button to establish a connection.

Connect will take you to a new page. If you have ServiceNow and Power BI set up, you should see the following window.

No documents have been discovered in this area. To make them tabular, you’ll need to do a few modifications. The option to “Into table” is located in the top left corner of the screen, as shown in the screenshot above. A name-and-value table will pop up when you click “Into table.”

  • Select the list link under “Value” to view a comprehensive listing. All the data will be shown in a single column.
  • Just hit “To Table” again. It will open in a new window or tab. Please complete the fields below.
  • Choose “none” for the “Select or enter delimiter” option, and “Add to final column” for “How to Deal with Extra Columns.” Simply select the OK option.

Clicking OK will divide the information into two columns, as demonstrated in the following screenshot.

There is an expand icon in the column 1 heading, so you know that column 1 should be extended, but column 2 can be disregarded. The mouse should be used there. In the following window, you may select the columns that you want to display.

If you go to the REST API in ServiceNow, you can get a complete list of all the fields you’ve set up. To disable this feature, deselect “Use original column name as a prefix.”

Challenges with REST-based ServiceNow-Power-BI Connections

  • Determine if you are sending out a lot of data in exports. Fifty thousand records are the limit, and it takes about two minutes to retrieve them.
  • The exporting of data in large quantities is possible. When you export data from ServiceNow, the “REST Table API Request Timeout” transaction quota rule, which is currently set to 60 seconds, needs to be increased.
  • Stop trying to fill in every field; focus on filling in as few as possible.
  • You cannot schedule incremental data updates in Power BI. As a result, you’ll have to constantly update all of your data. Power BI does not support incremental data updates when using a web-based data source.
  • When configuring the REST endpoint, you must ensure that sysparm_exclude_reference_link is set to true, as mentioned previously.
